Job Summary:

We are looking for a detail-oriented and proactive Export Documentation Assistant/Executive to manage the preparation, processing, and coordination of all export documentation activities. The role involves handling certificates under trade agreements, coordinating with banks, freight forwarders, and customers, and ensuring timely and accurate document dispatch.



Key Responsibilities:

1. Export Certification:

  • Prepare and submit export certificates (e.g., CEPA, CO, AFTA, SAFTA, GSP, etc.) as per shipment requirements.

2. Bank Documentation:

  • Prepare and submit bank-related documents for BRC, Collection, and LC Shipments processing.
  • Follow UP to the Bank for Finalization & negotiation of the Export Document.

3. Document Dispatch:

  • Submit export documents directly to customers and the marketing team via email and physical copies.

4. KYC Management:

  • Regularly update KYC details for CHAs (Customs House Agents) and freight forwarders.

5. MIS& Reporting:

  • Maintain export documentation records and prepare timely MIS and performance reports.

6. Buyer-Specific Documentation:

  • Handle buyer-specific document formats, declarations, and other regulatory paperwork.

7. E-Invoicing & Online Submissions:

  • Generate e-invoices and upload export-related documents through online government or buyer portals.

8. Freight Forwarder Coordination:

  • Follow up with freight forwarders for debit notes and update them with payment status.

9. BL (Bill of Lading) Management:

  • Coordinate with forwarders to receive BL post-payment and ensure timely BL surrender.

10.Courier Dispatch:

  • Dispatch export documents by courier to buyers, merchants, and international customers.



Required Skills:

  • Strong written and verbal email communication skills
