We are seeking a proactive and experienced Logistics Executive to join our Commercial Operations team. The ideal candidate will have strong knowledge in freight logistics, international shipping, documentation, and shipment coordination. This role involves managing daily logistics operations, negotiating freight rates, handling documentation, tracking shipments, and coordinating between various stakeholders to ensure timely delivery and compliance.

🛠 Key Responsibilities

Logistics & Operations (Primary Duties):

• Update and communicate daily freight rates to the team.
• Negotiate competitive ocean freight rates and prepare quotations.
• Arrange vessel and container bookings and monitor shipments.
• Track export documentation and coordinate with forwarders and CHA.
• Maintain shipment status updates and prepare MIS reports.
• Monitor container stuffing and movement until delivery.
• Coordinate with accounts, vendors, and third-party agencies for invoicing and shipment releases.
• Handle troubleshooting and logistics-related challenges. V

Reporting & Administration:

• Maintain accurate documentation, filing, and records of all logistics activities.
• Prepare periodic logistics reports and support audit requirements.

Ad-hoc & Strategic Activities:

• Support creation and revision of Standard Operating Procedures (SOPs).
• Assist reporting managers/directors with special logistics projects.
• Participate in vendor and forwarder meetings as needed.

• Education: Any Graduate / Diploma.
• Experience: Minimum 3 years in logistics, preferably with shipping lines, freight forwarders, or CHAs.

· Export Documentation: Prepare and manage all pre-shipment and post-shipment export documents, including invoices, packing lists, Bill of Lading, Certificate of Origin, and other required shipping documents.

· Coordination with Buyers & Shipping Lines: Communicate with buyers, freight forwarders, customs agents, and shipping lines to ensure timely shipment and smooth documentation processing.

· Customs & Compliance: Ensure compliance with export regulations, customs laws, and DGFT policies. Handle export incentives, duty drawbacks, and export obligations.

· Banking & Payment Processing: Handle LC (Letter of Credit), bank negotiations, remittances, and documentation required for payment processing.

· Coordination with Internal Teams: Work closely with production, logistics, and finance teams to ensure the timely execution of export orders.

· Tracking & Reporting: Maintain shipment records, track shipments, and update management on export status.

· Client Communication: Handle buyer queries related to export documentation, shipping, and compliance.

Job Description:

Senior Sourcing Manager:

• 8+ years directly applicable Supply Chain experience
• Possess a working knowledge of manufacturing principles, particularly in the technology industry
• Working knowledge of Quality Principles, Continuous Improvement and Process Implementation (DMAIC, Lean Mfg, Kaizen)
• Experience with contract management, project management, and supplier relationship management
• Proven experience with detailed data analysis leading to strategic sourcing recommendations and decisions.

JOB RESPONSIBILITIES

• Managing the entire order cycle of timely booking of Orders / Invoicing / Dispatching / and providing timely dispatch details to customers and team

• Coordinate with various internal teams such as Accounting, Warehouse, Transportation and Sales Team, etc. to execute the dispatch.

• Checking and Verification of Purchase Orders, Credit Limit, Prices, Items, Eway Bills, LR Copy and other things related to dispatch.

• Rechecking of Sales Invoice Made.

• Regular follow-up with warehouse and transporters to ensure that material is received to the client before/on time.

• Ensuring minimum freight charged to customers and our company from the transporters.

• Timely responding to all the dispatch-related calls, emails and queries.

About the Role:

Order & Inventory Management Lead (OML) supports and enables the delivery and execution of the Sales order for ConvaTec India along with financial credit / debit note and product evaluation sample management for our distributors.

This is an incredibly diverse and challenging role that will require a diverse and practiced knowledge of an ERP system along with very good skills in excel.

Key Duties and Responsibilities

Order Management

• Capturing sales order entry in SAP, check for special pricing & approval validity, save documents in drive, create output, share with customer

• Check for payment receipt via bank statement/ mails, messages

• Order release from finance and tracking of pending orders

• Create delivery order and share with the warehouse team

• Review dispatch details, follow up with customers for logistics partner

• Backorder management and apt stock allocation

Inventory Management
