Job Description – Executive Assistant

Position: Executive Assistant to Managing Director

Experience: 3–6 Years

Location: Ghansoli, Navi Mumbai

Employment Type: Full-Time

Reporting To: Managing Director

Job Summary

We are looking for a highly organized, proactive, and professional Executive Assistant to support the Managing Director in managing day-to-day schedules, meetings, communication, coordination, and administrative requirements.

The ideal candidate must have 4–5 years of experience as an Executive Assistant, Personal Assistant, or similar role, along with excellent verbal and written communication skills, strong organizational abilities, and a professional personality.

Key Responsibilities

• Manage the Managing Director’s day-to-day calendar, appointments, meetings, and schedules.
• Coordinate and schedule internal and external meetings, calls, and appointments.
• Act as the key point of contact between the MD and internal/external stakeholders.
• Manage and prioritize the MD’s daily agenda and ensure timely follow-ups.
• Handle emails, calls, correspondence, and communication on behalf of the MD when required.
• Coordinate with clients, vendors, business partners, senior management, and other stakeholders.
• Arrange travel, accommodation, transportation, and other travel-related requirements.
• Prepare meeting agendas, presentations, reports, minutes of meetings, and other documents.
• Follow up with various departments on tasks and action items assigned by the MD.
• Ensure timely completion of important tasks and provide regular updates to the MD.
• Maintain and organize confidential documents, records, and correspondence.
• Assist the MD with both professional and personal administrative requirements as needed.
• Maintain complete confidentiality regarding sensitive business and personal information.
• Anticipate the MD’s requirements and proactively manage schedules and priorities.
• Handle multiple tasks and priorities efficiently in a fast-paced environment.
• Perform any other responsibilities assigned by the Managing Director.

Eligibility

• 3–6years of relevant experience as an Executive Assistant / Personal Assistant / Management Assistant.
• Prior experience supporting a Managing Director, CEO, Founder, or Senior Executive will be preferred.
• Candidates must have excellent communication skills and a professional demeanor.
• Candidates should be comfortable handling both professional and personal administrative responsibilities of the MD.

Ideal Candidate

The ideal candidate should be well-spoken, confident, presentable, mature, highly organized, proactive, and dependable. They should possess excellent communication and interpersonal skills and be capable of representing the Managing Director professionally while maintaining complete confidentiality.

• Sound knowledge of Mongo as a primary skill
• . Should have hands on experience of  MySQL as a secondary skill will be enough
• . Experience with replication , sharding and scaling.
• . Design, install, maintain highly available systems (includes monitoring, security, backup, and performance tuning)
• . Implement secure database and server installations (privilege access methodology / role based access)
• . Help application team in query writing, performance tuning & other D2D issues
• • Deploy automation techniques for d2d operations
• . Must possess good analytical and problem solving skills

Roles & Responsibilities

• The role will entail enabling new products & propositions liaising with clients, insurers and internal stakeholders to solve business problem(s) and ensure mutual growth.
• The role will entail building and manage relationships with the Insurance Companies.
• Establish relationships with business leaders and underwriters of all insurance companies.
• Be primarily responsible for getting the best quotations across insurers, handle negotiations around policy terms and price.
• Be accountable for end-to-end group insurance product delivery for our partners.
• Maintain and improve the UAT sign off TATs as aligned by the organization.
• Develop and deepen both existing and new insurer relationships to support the strategic vision of the organization.
• Own overall delivery of the product from functions across product, compliance, legal, tech, and other functions.
• Be accountable for the delivery of API integration of new products with partners ecosystem (Web service and API integration).

Requirements, Desired Skills and Experience

• 4 years of relevant experience with any Insurance Company
• 4 years of relevant experience in the Insurer Relations Team, Central Product Team,
• Placements Team, Distribution Planning, Partner Onboarding, Process Excellence vertical/teams
• Masters degree is a must
• Entrepreneurial mindset, networking, and relationship building are must-have competencies
• Ability to take initiative, be proactive and work independently as well as with team to drive results

Salary ranges from 20 LPA onwards; negotiable based on experience

Mandatory Skills Required:

▪ ASP.NET & .NET Core, C#, NET 2.0 Web Services, OAuth 2.0 (JWT)

▪ Sitecore 9 and 10, Sitecore MVC, Sitecore JSS, Content Hub, Digital Asset Manager, Product Catalog Manager, Sitecore Experience Manager, Experience Platform, Customer Data Management

▪ Good working knowledge of CI/CD environments (preferably Azure DevOps), Git or similar confuration management software

Required Experience: 
▪ Bachelor's degree in Computer Science or Computer Engineering from an accredited university
▪ 5+ years of relevant industry experience
▪ Must have worked with industry leading Content Management systems; certification in Sitecore is a must
▪ Strong fundamentals in Software Architecture & Software Engineering - OOP, RESTful architectures, Design Patterns, Data Structures, Algorithms
▪ Experience with RESTful API development, Open API specification ▪ Experience with Microservices Development; working on Docker, Kubernetes
▪ Experience analyzing and tuning application performance

Primary responsibilities include : 
1. Leading a small team of software engineers and, also contributing individually to design, develop and test software for cloud, web and mobile
2. Design, develop, test and document quality software to user and functional requirements within specified timeframes and in accordance with CNHI coding standards
3. Design and implement complex real-time data visualization technologies
4. Generate rapid prototypes for feasibility testing
5. Generate all documentation relevant to software operation
6. Adhere to prescribed development systems, processes procedures and ensure efficient, effective,high quality delivery
