About the role
Incubyte is an AI-first software development company built on software craftsmanship, founded in 2020 and based in Ahmedabad. As Travel Desk Executive, you own end-to-end business travel so that employees and founders can travel without friction, and costs stay in check.

Plan and handle all international travel for the founders: itineraries, visas, forex, insurance, lounge access and on-ground support.
Process visa and travel-document requests, and track passport and visa validity for frequent travellers. Negotiate with airlines, hotels, travel agencies and cab vendors; maintain preferred vendor rates and corporate accounts.
Enforce the travel policy, approvals and budgets; flag overspend and find cheaper options without hurting the traveller experience.
Handle last-minute changes, cancellations, delays and emergencies, and be reachable when a founder or client trip is at risk.
Reconcile bills and invoices with Finance each month and report travel spend, savings and trends. Improve the process: set up a booking tool or request form, a travel calendar, and clear SOPs.
Nice to have
Experience supporting founders, CXOs or senior leadership travel.
Knowledge of forex, travel insurance and GST treatment of travel expenses.
Experience in an IT or startup environment with a distributed or growing team. Familiarity with expense tools and basic automation.
