We are looking for a detail-oriented Project Planning professional to manage project timelines, documentation, and stakeholder coordination. The role involves maintaining and updating project planning templates including milestones, deliverables, risk logs, and dependency trackers. You will be responsible for driving regular review cadences (weekly/fortnightly), stakeholder meetings, and ensuring clear communication with clients including MOMs, scope changes, and escalations. The candidate will identify bottlenecks, manage internal and external dependencies, and ensure smooth cross-functional coordination. Additionally, the role requires maintaining visibility across projects, managing escalation matrices, and supporting timeline renegotiations when required. Strong organizational skills, communication, and proficiency in Excel and PPT are essential.

• Basic knowledge of databases, APIs, and enterprise systems integration.
• Strong communication and presentation skills.

Job Summary:

We are looking for an experienced and result-oriented Project Manager to manage end-to-end project planning, execution, coordination, and delivery across Web Development and Digital Marketing services. The ideal candidate will be responsible for managing client requirements, coordinating with internal teams, monitoring project progress, ensuring timely delivery, maintaining quality standards, and optimizing team productivity.

The candidate should have a strong understanding of digital agency operations, client servicing, project management, and cross-functional team coordination.

Key Responsibilities:

1. Project Planning & Execution

• Plan, assign, monitor, and manage projects from initiation to final delivery.
• Define project scope, timelines, milestones, deliverables, and priorities.
• Ensure projects are delivered on time and meet agreed quality standards.
• Monitor project progress and proactively resolve delays, bottlenecks, and dependencies.
• Manage multiple projects simultaneously while maintaining delivery efficiency.

2. Development Project Management

• Coordinate with web developers, designers, QA, and technical teams for website development and related projects.
• Track website design, development, testing, bug fixing, revisions, and deployment.
• Ensure project requirements, technical specifications, and client expectations are clearly communicated.
• Monitor development progress and ensure timely completion of assigned tasks.

3. Digital Marketing Service Management

• Manage project execution across SEO, Social Media Marketing, Performance Marketing, Content Marketing, and other digital marketing services.
• Coordinate with respective team leads and executives to ensure timely execution of client strategies and deliverables.
• Track campaign execution, monthly deliverables, reporting schedules, and performance updates.
• Ensure teams follow defined workflows, service standards, and client commitments.

4. Client Communication & Service Delivery

• Understand client requirements and translate them into clear project briefs and actionable tasks.
• Conduct project status meetings and provide regular progress updates to clients.
• Manage client expectations, feedback, revisions, escalations, and delivery-related concerns.
• Ensure a smooth onboarding process and consistent service delivery throughout the client relationship.
• Identify opportunities to improve client satisfaction and service quality.

5. Team Coordination & Productivity

• Coordinate with development, marketing, design, content, and client servicing teams.
• Assign and track responsibilities in the Task Management System (TMS).
• Monitor task completion, productivity, deadlines, and team capacity.
• Ensure clear ownership, timely updates, and closure of assigned tasks.
• Identify resource gaps and coordinate with management for workload planning.

6. Quality Control & Process Improvement

• Review project deliverables before client submission to ensure completeness and quality.
• Establish and maintain SOPs, project tracking processes, reporting formats, and escalation procedures.
• Identify recurring delivery issues and implement corrective actions.
• Maintain project documentation, meeting notes, timelines, and status reports.
• Recommend process improvements to increase efficiency and reduce delivery delays.

7. Reporting & Performance Monitoring

• Prepare regular reports on project status, delivery timelines, pending tasks, resource utilization, and client concerns.
• Track project KPIs, including on-time delivery, turnaround time, quality, productivity, and client satisfaction.
• Report risks, delays, scope changes, and delivery challenges to management.
• Support capacity planning and improve overall operational efficiency.

Required Skills & Qualifications:

• Bachelor's degree in Management, IT, Computer Science, Marketing, or a related field.
• 3–6 years of experience in project management, preferably in a digital marketing agency or IT services company.
• Strong understanding of web development processes and digital marketing services.
• Experience managing multiple projects, teams, timelines, and client deliverables.
• Excellent client communication, coordination, planning, and problem-solving skills.
• Strong organizational skills with the ability to prioritize tasks and manage deadlines.
• Proficiency in project tracking tools, spreadsheets, documentation, and reporting.
• Ability to handle escalations, manage expectations, and work in a deadline-driven environment.

Preferred Qualifications:

• Experience managing both development and digital marketing projects.
• Familiarity with Agile/Scrum methodologies and project management frameworks.
• Previous experience in client-facing project management and service delivery.
