Job Description: Personal Assistant to CXO

Job Overview

We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support our CXO in day-to-day operations. The ideal candidate will manage schedules, communications, and follow-ups efficiently, ensuring smooth coordination across internal teams and external stakeholders. This role requires a high level of professionalism, discretion, and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities

• Manage the CXO’s calendar, appointments, meetings, travel arrangements, and daily schedule
• Track, document, and follow up on all tasks assigned to the CXO to ensure timely completion
• Prepare meeting agendas, take detailed minutes, and coordinate action items with internal teams
• Draft, proofread, and organize professional emails, presentations, reports, and documents
• Coordinate with internal departments and external stakeholders on behalf of the CXO
• Maintain confidentiality of sensitive information and ensure systematic documentation
• Anticipate requirements, provide timely reminders, and prepare necessary materials ahead of meetings
• Support ad-hoc administrative and operational tasks as required

Qualifications & Experience

• Bachelor’s degree in Business Administration, Management, or a related field
• Minimum 1 year of experience as a Personal Assistant or Executive Assistant
• Experience in healthcare, technology, or startup environments is an added advantage

Key Responsibilities:

1. Design marketing creatives for social media, websites, emailers, and WhatsApp campaigns
2. Create offline collaterals including posters, brochures, flyers, standees, and presentations
3. Ensure brand consistency across all digital and print assets
4. Translate marketing briefs into clear, effective visual concepts
5. Adapt creatives for multiple formats, platforms, and campaign requirements
6. Manage parallel design requests while meeting timelines

Must Have's

1. 1–3 years of professional graphic design experience
2. Proficiency in Adobe Photoshop, Illustrator, and InDesign
3. Strong understanding of typography, layout, and color theory

The candidate must have 2-3 years of experience in the domain. The responsibilities include:

● Deploying system on Linux-based environment using Docker

● Manage & maintain the production environment

● Deploy updates and fixes

● Provide Level 1 technical support

● Build tools to reduce occurrences of errors and improve customer experience

● Develop software to integrate with internal back-end systems

● Perform root cause analysis for production errors

● Investigate and resolve technical issues

● Develop scripts to automate visualization

● Design procedures for system troubleshooting and maintenance

● Experience working on Linux-based infrastructure

● Excellent understanding of MERN Stack, Docker & Nginx (Good to have Node Js)

● Configuration and managing databases such as Mongo

We are looking for experienced / energetic Demo Jockey (s) who can represent the 500apps brand well and engage our prospective customers in partnership with the sales team in meaningful ways for customers as well as 500apps.. Ideal candidates will share our passion to learn and master the apps to make customers appreciate 500apps in their situation / context. The successful candidate will be business savvy, detail oriented and be able to build effective demo’s to suit a prospective customer's use case. She / he would have had relevant experience in a SaaS / Product based company.

What you will be doing (responsibilities):

1. Work as part of the Sales POD in a matrixed environment to close deals.

2. Pull together effective demo’s using necessary apps for desired outcomes.

3. Keep an eye on the Sales pipeline and build / customize demo’s as needed prior to client meetings in partnership with the sales team.

4. Gather feedback from Customers post demonstration and provide the same to the Product team for potential enhancements / tweaks to fit into the customer's environment.

5. Be available / flex for demo’s as per shift / region assigned.

6. Build and maintain a repository of ready to use Demo’s for most frequent use cases.

7. Create and submit necessary reports.

8. Be the product champion / evangelist for 500apps.com

9. Stay on top of updates in current apps and new apps being launched - explore new app combinations for enhanced results.

Skills, Qualifications, Requirements:

• Clear and articulate communicator in English language to be able to effectively engage International customers.
• Ability to learn and apply apps in a stand alone fashion as well as in combination with other apps to deliver enhanced results for Customer use cases.
• Ideal candidate has a broad understanding of industries, domains, functions and disciplines to be able to effectively and quickly apply the apps in appropriate scenarios.
• You will ideally have a combination of both Product (Computer Sciences) and Business education and experience.
• At least 3 years of relevant experience as Demo Specialist or Onboarding Specialist in a B2B setting.
• Should be able to work effectively in a Matrixed environment - working closely with Sales and Customer Success Teams.

• Ability to learn and adapt fast.

What you'll need...

• Highly experienced using AngularJS , NodeJS
• Good understanding of web markup, including HTML5, CSS3, Javascript
• Strong understanding of CSS pre-processing platforms, such as LESS and SASS.
• A solid understanding of cross-browser/platform issues and code solutions
• Proficient understanding of code versioning tools, such as GIT
• An excellent ability to convert PSD/Sketch mockups into interactive digital experiences

Bonus points for...

• eCommerce development experience Magento,
• Understanding of conversion rate optimization or data-driven product development (analytics, a/b testing, etc.)
• Experience developing with prototype frameworks (Bootstrap, Foundation, etc.)
• Experience integrating dynamic content solutions with AJAX or API Services

Experience in Cloud and Serverless

• Knowledge of version control systems (GitHub etc.)
