Job Summary:

We are looking for a highly organized and proactive Executive Assistant (EA) to the Director of our retail brand. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential communications, and ensuring smooth day-to-day operations. The role requires exceptional organizational skills, strong business acumen, and the ability to multitask in a fast-paced retail environment.

Key Responsibilities:

1. Calendar & Meeting Management

• Manage the Directors daily schedule, appointments, and travel plans.
• Coordinate and schedule meetings, conferences, and events.
• Prepare agenda, minutes, and follow-ups for key meetings.
• Act as a liaison between internal teams, external stakeholders, and the Director.

2. Communication & Coordination

• Draft and review emails, reports, presentations, and business correspondence.
• Maintain confidentiality while handling sensitive business information.
• Manage incoming calls, messages, and requests, ensuring effective communication flow.
• Interface with senior management, clients, vendors, and other business partners.

3. Travel & Expense Management

• Arrange domestic and international travel, including flights, accommodations, and logistics.
• Process and track expense reports, ensuring accuracy and compliance with policies.

4. Business Support & Strategic Assistance

• Assist in market research, data analysis, and presentation preparation for business reviews.
• Support the Director in strategic decision-making by providing relevant insights.
• Coordinate with HR, Finance, and Operations teams on various initiatives.
• Maintain a strong understanding of the retail industry, competitors, and trends.

5. Office & Project Management

• Oversee office administration tasks to enhance efficiency.
• Track progress on key business projects and initiatives.
• Assist in organizing corporate events, off-site meetings, and team engagements.

Key Skills & Requirements:

• 8+ years of experience as an Executive Assistant, preferably in the Retail or FMCG industry.
• Strong organizational, multitasking, and time management skills.
• Excellent verbal and written communication skills.
• High level of confidentiality, professionalism, and attention to detail.
• Proficiency in MS Office (Excel, Word, PowerPoint) and scheduling tools (Google Calendar, Outlook, etc.).
• Ability to work in a fast-paced, high-pressure environment.
• Strong problem-solving and decision-making abilities.

What you’ll be doing at Novo:

● Systems thinking
● Creating best practices, templates, and automation for build, test, integration and
deployment pipelines on multiple projects
● Designing and developing tools for easily creating and managing dev/test infrastructure
and services in AWS cloud
● Providing expertise and guidance on CI/CD, Github, and other development tools via
containerization
● Monitoring and support systems in Dev, UAT and production environments

About the role-

• Counselling and coaching students in their entire study abroad journey from profile evaluation till the student reaches her/his destination.

• Liaising with different stakeholders within the company like application, visa teams, etc.

• Working on internal CRM tools, consultant portals, and Google Sheets for a smooth process.

• Resolving issues related to university finalizing, filing applications, etc. for the students and other team members.

• Achieving and maintaining the student's sales target.

• Any other task assigned by the Manager.

• Familiarity with RDBMS (MySQL, PostgreSQL) and NoSQL (MongoDB) databases, web servers (e.g. Apache) and UI/UX design
• Experience in taking a problem to a product solution (module/product) from scratch - a proven record of shipping on time and budget

Responsibilities

• The successful candidate must have hands-on testing experience on any web application (Any Architecture) and should have in-depth knowledge on the architecture of current/previous projects.
• The successful candidate must have hands-on testing experience on testing UI / Front End on different configurations of browsers.
• The successful candidate must have excellent knowledge on Testing Methodologies & defect Management systems
• The successful candidate must have Good knowledge on CRM domain
• The successful candidate will need to work closely with other teams in IT including Business Solution Analyst, Engineering & Release Management,
• The successful candidate will be responsible for collaborating with other engineers and project stakeholders on the test case Sign off, test case execution and test reporting of solutions and integrations.
• The successful candidate will be responsible for functional, integration and system testing the integrations using the appropriate technology/tools. They will work closely with the Engineering team to validate their integration, and with Operations to investigate, troubleshoot, and address production issues.

Requirements

• Minimum 3 to 5 + years Experience in Web Application Testing on multiple configurations of browsers
• Knowledge of Database (any) and ability to write SELECT queries with ease.
• Experience on testing web services is an advantage.
• Proven track record of designing test plans and test cases and executing the integration projects on the Force.com platform
• Adhere to STLC standards.
• Excellent in communication skills & a good team player.
• Quality Certifications would be advantage.
• Knowledge of validating, and troubleshooting XML schemas.
• Knowledge on Performance / Security tools is an advantage.
• Experience with Test management tools (i.e JIRA), test automation (i.e QTP , Selenium) and defect tracking tools (JIRA)

Desirable Skills

• Prior experience with any marketing automation tool, such has Hubspot, Eloqua, Exact target, Adobe Campaign, Adobe MArketo will be a advantage.
• Hands on experience on OOB solution testing, Cloud Based testing
• Adobe Marketing cloud product knowledge
• Hands-on experience on testing workflow based applications with keen attention to integration between various systems.
• Hands on Experience on Automating web applications will be an advantage.
• Knowledge on any automation tool that can be used on CRM Applications is a desirable;
