About the Role
We are looking for a highly organized, proactive, and reliable Executive Assistant / Operations Coordinator to support the CEO in managing daily operations and ensuring smooth communication across all teams. This person will act as the CEO’s right hand—coordinating tasks, tracking progress, following up with team members, and ensuring everything runs efficiently.

Key Responsibilities
CEO Support
- Act as the primary point of coordination between the CEO and internal teams.

- Prepare daily/weekly reports summarizing progress, blockers, and upcoming activities.
- Follow up on assigned tasks with team members and ensure timely completion.
Team & Operations Management
- Coordinate across departments (marketing, tech, sales, operations, support) to ensure alignment.
- Track team members' workloads, project statuses, and deadlines.
- Ensure all teams follow SOPs, workflows, and reporting structures.
- Maintain an organized overview of ongoing projects, tasks, and deliverables.
Communication & Documentation
- Draft internal communication, meeting notes, action items, and reminders.
- Handle basic administrative work (emails, follow-ups, documentation).
- Maintain dashboards or trackers to monitor progress across departments.
Process Improvement
- Identify bottlenecks and propose improvements to streamline operations.
- Help standardize reporting, workflows, and cross-team collaboration.

- Handle all sensitive information with the highest level of discretion.
Requirements
- 2–5 years experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
- Strong organizational and multitasking skills.
- Excellent communication skills (written and verbal).
- Ability to manage people diplomatically while ensuring accountability.
- Tech-savvy: familiar with tools like Notion, Google Workspace, Slack, CRM systems, etc.
- Strong attention to detail with the ability to anticipate needs.
- Ability to work independently with minimal supervision.
Preferred Qualifications
- Experience in a startup or fast-paced environment.
- Ability to create or optimize internal processes.
- Good analytical/reporting skills.
- Design technical specifications for RPA (Automation Anywhere) that meets the requirements and handled all the non functional requirements of concurrency, scalability, security requirements, restart and recovery.
- Develops and configures automation processes as per the technical design document to meet the defined requirements. Works on the coding the more complicated automations or reusable components, and delegates and mentors junior developers for the less complex components.
- Develops new processes/tasks/objects using core workflow principles that are efficient, well structured, maintainable and easy to understand.
- Complies with and helps to enforce design and coding standards, policies and procedures.
- Ensures documentation is well maintained.
- Ensures quality of coded components by performing thorough unit testing.
- Works collaboratively with test teams during the Product test and UAT phases to fix assigned bugs with quality.
- Reports status, issues and risks to tech leads on a regular basis
- Improves skills in automation products by completing automation certification.
- Mentors junior developers and performs code reviews for quality control.
Additional Information
- 5- 8 years of IT experience and having good understanding of programming concepts. Should be from a programming background on any coding language (.Net, Java).
- Working experience in RPA for a minimum of 2 years and having project experience of a minimum 3 RPA implementations.
- Understands development methodology and lifecycle
- Should be trained on RPA tools (Automation Anywhere).
