ARTIFEX HR is recruiting a Female Executive Assistant - Operations for one of their hospital clients

ROLE MISSION (WHY THE POSITION EXISTS)
 Responsible for managing the MD’s calendar, prepares any notes for the meetings, fixes appointments with visitors, internal staff, etc.
 Prioritizes and follows up on concerns addressed to the MD, including those marked sensitive or confidential nature. Follows course of action as recommended by MD.
 Drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the MDs ability to perform his/her duties
 Making transport and travel arrangements and preparing expense reports for the MD
 Coordinates internally with internal departments and acts as a point of contact between internal and external employees, vendors, external clients and guests
 Arranging minutes of meetings, conferences, Board meetings
 Filing all important documents, correspondence for the MD’s office
 Responsible for regular monthly reports as required by the Management
 Coordinates with external organizations, as required

AREAS OF RESPONSIBILITY 

Administrative Responsibilities:
- Responsible for calendar management, scheduling appointments and meetings
- Making transport and travel arrangements for the MD
- Be the point of contact to answers queries and providing
information related to the MD’s office
- Develop presentations as required by the MD
- Handles all correspondence for the MD’s office and prepare
responses and filing all important documents
- Manage information flow in a timely and accurate manner
- Delegating tasks assigned by MD to staff and follow up of status of all tasks assigned
- Collating MIS from all departments on a timely basis
- Handle confidential information in a sensitive manner

JOB SPECIFICATIONS
Education:
 Bachelor of Commerce / Arts
 MBA (Optional)

Job Related Experience:
 6-8 years of work experience in administration with minimum 3 experience as a Executive Assistant to a Management role
 Excellent computer proficiency required

 Hospital Management

As a Lead Administrator, you should be able to act as a Single point of contact for the technical tower in front of the customer management.
Ensure proper communication and quick resolution as a crisis manager.
Responsible for Vendor Management and people management.

Drives day to day operations and work plan allocation/management. 
Conduct periodic reviews with teams.
Weekly and monthly status reports to higher management.
Participate in business meetings with various stake holders. 
Take corrective actions based on the customer satisfaction surveys.
Drive service improvement programs. 
Ensure adherence to quality / security standards defined for the engagement Perform Trend analysis, identify top few incidents and work with respective teams/individual to minimize the incidents.
Effort estimation/reviews on need basis for new projects. Minimum work experience: 5 - 8 YEARS

What you will do:

• Creating cost effective, scalable, agile processes that can cater to increased production across multiple business units
• Collaborating closely with the Designers, the Business Analyst(s) and the Merchandiser(s) for the same
• Ensuring that both the raw material and finished goods meet the quality benchmarks of the company (quality benchmarks and documentation will also be your accountability)
• Bringing in more robust quality measures to the entire production process - from procurement to finishing
• Ensuring complete and timely handoffs amongst teams to ensure the manufacturing is as per plan
• Motivating and upskilling the teams and ensuring smooth communication and collaboration at all times
• Ensuring that the suppliers are able to fulfill the fabric and raw material requirements on time and that there are no delays on their front because of capacity issues
• Ensuring that the internal infrastructure/ production capacities and capabilities and external capacities (supplier networks and their infrastructure) are ready to handle the forecasted production requirements (which is planned 365 days in advance)
• Constantly partnering with suppliers, local authorities and internal teams such as Technology, Finance, HR, Legal etc
• Ensuring that the processes and their interface with technology stays updated with changing times
• Submitting pricing proposals and production cost estimates
• Ensuring cost optimization and ensuring strong fiscal controls are in place across the production process
• Partnering closely with the leadership team and Finance to ensure that the production planned and executed is as per the business targets
• Driving a strong execution culture within the team so as to ensure that delivery is as per the production planned / launch plan
• Working closely with the legal team to ensure that all requisite paperwork/documentation safeguarding the company with new/old - vendors/suppliers/ fabricators against delays, quality defects etc are in place beforehand and retrospectively

 

Desired Candidate Profile

What you need to have:

• MBA/ Masters in Supply Chain/ Planning/Production/ Operations
• Prior experience as an Operations lead for a manufacturing concern preferably in an ecommerce set up
• Experience in handling transitions (location as well as team transitions ) and setting up teams from scratch
• 12+ years of relevant experience (preferable)

As a Strategy & Operations Manager you are expected to Work closely with CEO and help streamline Operations for the best way forward through Guidelines, Standards Automation etc (understanding the current state and future state why is critical), for & through

A strategic & org level role to define/streamline/standardize overall Org Operations in alignment with the current & future goals of the company, through, 

• Definition of Guidelines, Standard Operating Procedures etc. for all the operations/services in the company 
• Identification of the areas of automation of manual/repetitive tasks as a part of project management/delivery and working with the team in identifying and automating through the right tools & techniques (for ex – Team Management Matrix, Timesheets, Customer Status Dashboards etc.) 
• People & Management – for work, right utilization & upskilling 
• Continuous Reviews, Audits & Feedback ensure adherence  
• Use of the right tools & techniques for ease, reuse, scalability & management – across operations 
• Definition & Delivery of Org specific reports – team management, project dashboards, customer management etc. 
• Bringing in mature practices to the way we do business for the betterment. 
• Helping avoid waste and add value – in terms of work executed, value delivered to the customers

Experience/Qualifications 

 

• Insurance Technology space, with experience in the role, as per Job Profile (preferable: P&C/General Insurance and related Technologies) would be ideal for the role. Alternatively, experience in FinTech or BFSI is expected 
• Minimum of 5 to 6 years – Our focus is not on the number of years of experience, but the passion/aggression to help support in building scalable business through the right Operations 
• B Tech with MBA from Premier Institutes preferable 
• Experience in tech project implementations – in the capacity of operations manager

5. Reporting  - Various reports (Governance/Monthly/quarterly review reports).
6. Deal with clients, management, suppliers and other employees professionally at all times
7. Complete all the  tasks on time, timelines are critical.
8. Open for new tasks and ready to accept the challenges since this is a dynamic profile.

Is Education overrated? Yes. We believe so. But there is no way to locate you otherwise. So we might look for at least a Bachelors degree in commerce from an accredited university and prefer a Bachelors or Masters in finance. A higher degree, CA, CA inter or MBA/PGDBA in Finance will be an added advantage.
