Operations Manager

The Logistics Executive is responsible for managing and coordinating end-to-end logistics and shipping operations to ensure timely, cost-effective, and compliant movement of goods. The role involves close coordination with internal teams, freight forwarders, CHA, transporters, vendors, and third-party agencies to support smooth export and import operations.

Key Responsibilities

• Negotiate ocean freight rates with shipping lines and freight forwarders and arrange competitive quotations as per shipment requirements.
• Provide daily freight rate updates to concerned internal departments.
• Book vessels and containers in line with shipment schedules and customer commitments.
• Track and update daily shipment status in Excel/MIS sheets and circulate updates to stakeholders.
• Monitor container lift-on, lift-off, gate-in, gate-out, and stuffing activities to ensure operational accuracy.
• Supervise daily container stuffing and coordinate with operations teams to avoid delays or discrepancies.
• Monitor the movement of export documents and ensure timely submission to CHA, forwarders, banks, and customers.
• Coordinate with CHA, forwarders, transporters, vendors, and internal operations teams for smooth shipment execution.
• Track shipments from origin until final delivery at destination and resolve transit-related issues.
• Handle coordination for third-party agency certifications, inspections, and related documentation.
• Monitor freight, transportation, and logistics invoices and coordinate with Accounts department, CHA, forwarders, and vendors for verification and payment processing.
• Identify, track, and report additional local charges and cost variations to management.
• Follow up with forwarders for release of Delivery Orders (D.O.), container availability, and booking confirmations.
• Handle troubleshooting situations such as delays, rollovers, documentation issues, port congestion, or operational challenges.
• Prepare and maintain daily, weekly, and monthly MIS reports for management review.

Reporting & Documentation

• Conduct periodic reporting of all logistics and shipment-related activities.
• Manage documentation, filing, and record-keeping in compliance with company and regulatory requirements.
• Prepare reports as required by the Reporting Manager, Directors, or Managing Director.

Ad-hoc & Development Activities

• Assist in ad-hoc logistics and operational activities as assigned.
• Develop, review, and update Standard Operating Procedures (SOPs) to improve efficiency and compliance.
• Participate in periodic logistics-related visits and meetings with vendors, CHA, forwarders, and service providers as required for smooth operations.

On our team, you will perform as a Manufacturing Planner / Production Controller supporting manufacturing operations. This role will require you to be organized with exceptional attention to detail. We are seeking a Production, Planning & Inventory control Associate (PPIC)  who is responsible for accurate record keeping of a live inventory 

• Manage the planning and flow of material and FGs (finished Goods) to maximize on-time deliver to customers and optimizes inventory/working capital performance.
• You will identify and resolve resource conflicts, material availability and manufacturing issues.
• You will maintain ERP system integrity to ensure the optimization of the planning, execution, and control of production schedules.
• Track shipments, transfers, PO’s, inventory levels and physical inventory counts for multiple locations. Communicating with location managers to maintain required inventory levels between the various locations.
• Manages a team of buyers, planners, inventory control. Suggest and lead continuous improvement for the department and others.
• Measures and manages the performance of materials indirect and direct support teams.
• Identify, share and implement best in class supply chain practices.
• Develops standard work, policies and procedures in collaboration with other facilities Manager, Production Control Logistics and professional supply chain resources.
• Suggest and lead continuous improvement for the department and others.
• Manage Supplier held inventory programs to improve delivery, reduce lead-times and avoid risk
• Collaborate with other departments to drive continuous improvement.
• Collaborate with other facilities and regions to optimize inventory.\
• Stock Management & Update Stock Sheet in MS Excel.
• Achieving the Production Target & resolved client issue by close interaction with Production, Planning, Purchase & Sales Department.
• Implementation of 5’S, Continuous improvement related to Cost, Quality, safety & related Processes to increase productivity.
• Coordinating with Vendors and Clients

Skills & Qualification:

• Bachelor’s degree in Business Administration, Supply Chain Management or related discipline required.
• MBA or related advanced degree preferred.
• Entrepreneurial, optimistic and can work independently with minimal supervision.
• Exemplary leadership, motivation
• Experience with ERP or comparable production software.
• Minimum 3 – 5 years’ experience within the manufacturing, distribution, and/or service industry.

KEY ACCOUNTABILITIES OF POSITION:

• Provides input to the Project Procurement Plan and Project Material Responsibility Matrix.
• Responsible for the Project Material Management Plan & the Project Material Management Procedures and ensures alignment with Engineering, Purchasing, Logistics and Installation, O&M.
• Provides input to the Engineering Material requirements and verification of Quantities & Contingencies to support Installation, O&M required on Site as per Installation, O&M philosophy.
• Liaison with Project Team Requisitioning Engineers to support requirements of ERP based Material Management System & downstream Procurement & Installation, O&M activities (Expediting, Logistics & Site Material Management).
• Responsible for coordinating procurement activities and progress reporting to Project Management.
• Responsible for improvements of MSPL Material Management policies, procedures & work process.

ESSENTIAL SKILLS / COMPETENCIES REQUIRED:

Job Specific:

• A thorough knowledge of Mechatronics & material management practices within the process automation industry (typically water-wastewater).
• Strong knowledge & understanding of material requisitioning, expediting, logistics, site material management & shop & field fabrication.
• General knowledge of Process Automation electrical and instrumentation materials.

Standard Competencies

Experience:

Required:

• 7+ years, with a minimum of 5 years project material management experience in a multi-discipline team environment.

Guide:

• Minimum of 7 years mechatronics engineering experience in oil and gas, petrochemical industry or equivalent, or water- west water
• Minimum of 5 years’ experience in a project material management or coordination role, or
• Minimum of 5 years’ experience as material controller or material coordinator.
• Additional experience in Installation, O&M site, supply logistics or offsite module/spool fabrication is an advantage.
• Minimum of 3 years’ experience in operating ERP based material management system is required.
