
Position: Executive Assistant / Personal Assistant
Reporting to: COO/CEO
Brief:
We are seeking an experienced and highly organized Executive Assistant (EA) or Personal Assistant (PA) to provide comprehensive administrative support to senior executives and ensure smooth office operations. The ideal candidate will have exceptional organizational, communication, and multitasking skills, along with the ability to handle sensitive information with discretion and professionalism.
Key Responsibilities:
- Calendar and Scheduling: Efficiently manage calendars, coordinate schedules, and arrange appointments for executives.
- Travel Arrangements: Organize and book travel including flights, hotels, transportation, and related logistics.
- Correspondence Management: Screen, manage, and respond to emails, phone calls, and other correspondence, ensuring timely and appropriate follow-up.
- File and Record Management: Maintain both digital and physical filing systems, ensuring records are organized and accessible.
- Cross-functional Team Coordination: Collaborate with multiple departments to ensure project deadlines and tasks are met effectively.
- Meeting and Event Coordination: Schedule, prepare, and coordinate meetings, events, and conferences, ensuring all logistical aspects are managed smoothly.
- Communication and Teamwork: Facilitate effective communication within teams and departments, ensuring the timely execution of tasks.
- Office Activities Coordination: Streamline various office activities to improve efficiency and productivity.
- Office Supplies Management: Order and maintain office supplies, ensuring availability and minimizing shortages.
- Collaboration with Accounting & Finance: Coordinate with finance and accounting teams for expense tracking, invoicing, and budgeting.
Qualification and Skills:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills, with the ability to prioritize tasks efficiently.
- Familiarity with office technologies and tools (e.g., e-calendars, copy machines, office management software).
- Outstanding verbal and written communication skills.
- High level of discretion and ability to handle confidential information.
- High school diploma required; PA diploma or certification is a plus.

Key Responsibilities
Sales & Business Development

- Explore and onboard new retail store tie-ups and distributors to strengthen reach and market penetration.

- Oversee Amazon listings and catalog management, ensuring products are correctly priced, described, and optimized.

- Maintain strong vendor relationships and ensure timely supply and collections.

Qualifications & Requirements
- Bachelor’s Degree required; MBA / Master’s in Marketing preferred.
- 5–7 years of FMCG (Food) sales experience — experience in Modern Trade / E-commerce / Quick Commerce / HoReCa is essential.
- Strong leadership and team-building capabilities.
- Excellent communication, negotiation, and relationship management skills.
- Hands-on experience in Amazon / online retail operations preferred.

About our Engineering Department
We build new features on top of a stack using YII2 framework, consisting of web apps communicating through APIs, backed by MySQL databases and currently using Cordova for our Android and iOS apps
We don’t follow rigid Scrum or Kanban, but we do work in an agile, iterative way – we deploy changes multiple times a week to production and try to continuously improve and implement what works for us.

About 1-4 years experience in PHP framework, including both successes and failures, which help you make better decisions.
Good working knowledge of PHP MVC Frameworks, MySQL & HTML/CSS.
Significant experience in working on major systems in one or more languages: ideally you’ve built REST API endpoints on top of data storage layers, and understand concepts like authentication, caching, web security, and the way that frontends consume APIs.
